What to include on a UK payslip

Provide employees and workers with their payslip on or before payday. GOV.UK allows printed or electronic payslips.

Gross and net earnings
Show earnings before deductions and the amount paid after deductions. Keep the pay period and payment date clear so the employee can reconcile the payslip with their bank payment.
Variable deductions
Show the amounts of deductions that can change each payday, such as income tax and National Insurance. Use the figures from your payroll calculation, not an assumed percentage.
Hours where pay varies
Include the number of hours worked when pay varies depending on time worked. Check that paid hours and the earnings breakdown agree with the approved time record.
Fixed deductions
Explain fixed deductions, such as repayment of a season ticket loan, on the payslip or in a separate written statement. If using a statement, supply it before the first payslip and update it every year.

Review the GOV.UK requirements and verify payroll figures before sharing the PDF. A payslip documents pay; it is not an HMRC Real Time Information submission, P60 or P45.

Payroll Regulations in United Kingdom

Under the Employment Rights Act 1996, UK employers must provide itemised pay statements to all employees before or on each payday. Payslips must show gross pay, variable and fixed deductions, net pay, and the method and amount of part-payments. HMRC administers the PAYE (Pay As You Earn) system through which employers deduct income tax and National Insurance Contributions at source.

Frequently Asked Questions

What must a UK payslip include by law?

Since April 2019, all UK workers (including casual and zero-hours) are entitled to an itemised payslip. It must show gross pay, amounts and reasons for variable deductions (e.g. tax, NIC), net pay, and for hourly-paid workers, the total hours worked.

How does PAYE work in the United Kingdom?

PAYE is HMRC's system for collecting income tax and National Insurance from employment income. Employers use each employee's tax code to calculate the correct deduction each pay period. Tax codes reflect the personal allowance and any adjustments, ensuring most employees pay the right amount of tax throughout the year.

Are pension contributions automatically deducted from UK payslips?

Yes, under auto-enrolment legislation, eligible employees are automatically enrolled into a workplace pension scheme. The minimum total contribution is 8% of qualifying earnings (5% employee, 3% employer). These deductions appear on the payslip and employees can opt out if they choose.

How do I create payslips for my employees?

UK employers can create payslips using payroll software, HMRC's Basic PAYE Tools (free for small employers), or a payroll bureau. Payslips must be provided on or before each payday and must include gross pay, net pay, and an itemised breakdown of all variable deductions. Electronic payslips are permitted provided employees can access and print them.

What is PAYE on a payslip?

PAYE (Pay As You Earn) is HMRC's system for collecting income tax and National Insurance Contributions directly from wages before the employee is paid. The employer uses the employee's tax code to determine how much tax to deduct each pay period. PAYE deductions are shown on the payslip and the employer remits the collected amounts to HMRC monthly.

Do zero-hours contract workers need payslips?

Yes. Since April 2019, the right to an itemised payslip was extended to all workers, including those on zero-hours contracts and agency workers, not just employees. For workers paid by the hour, the payslip must also state the number of hours worked that the payment relates to, either as a single total or broken down by different rates of pay.

How often should I issue payslips?

UK law requires employers to provide a payslip on or before each payday, regardless of whether the employee is paid weekly, fortnightly, or monthly. There is no requirement for a specific pay frequency, but the chosen frequency must be stated in the employment contract. Most UK employers pay monthly, but weekly pay is common in retail, hospitality, and construction.
