To create a payslip PDF, choose the employee and pay period, enter verified earnings and deductions, check the totals, generate the payslip and download the PDF. CleverSlip requires an account. The free plan supports up to 5 employees, 25 payslips per month and 2 country templates, with a CleverSlip watermark on the PDF.
A PDF keeps the layout convenient to read, print and share. It does not verify the payroll figures, make the document uneditable or guarantee acceptance as proof of income. Only create payslips for genuine payroll records you are authorised to manage.
Before you start: gather the payroll details
Have these records ready rather than guessing figures while filling in the form:
| Detail | What to check |
|---|---|
| Employer and employee | Correct legal names and applicable registration or employee identifiers |
| Country and currency | The template matches the employee’s payroll context |
| Pay period and payment date | Start/end dates describe the earnings period; payment date describes when pay is issued |
| Earnings | Basic pay, hours and rates where applicable, overtime, allowances and bonuses |
| Employee deductions | Verified tax, pension or social-insurance amounts and other applicable deductions |
| Employer contributions | Keep employer-only contributions separate from employee deductions |
| Totals and year-to-date records | Reconcile with payroll and bank-payment records; do not invent prior periods |
Requirements differ by country. For example, GOV.UK specifies earnings before and after deductions, variable deductions and hours where pay varies with time worked. Fair Work lists Australian pay slip fields and delivery requirements. Use the relevant authority’s current guidance, not a generic template alone.
Step 1: create an account and check your plan
Start with the free payslip generator and create an account if you do not already have one. No credit card is needed for the free plan.
Check the limits before preparing a large batch. Free PDF downloads are included, but not every feature shown in a paid-plan workflow is available on Free. The plan comparison below separates the main options.
Step 2: set up the employer and employee
Enter your company details and add or select the employee. Review names, country, currency and applicable identifiers. Avoid adding unnecessary sensitive information merely because an optional field exists.
Use the employee’s actual employment and pay arrangements. A contractor invoice or a self-employed income record is not automatically an employee payslip.
Step 3: enter dates, earnings and deductions
Select the pay period and payment date. Enter salary or hourly earnings as appropriate, then add the relevant allowances, overtime and deductions from your approved payroll records.
CleverSlip calculates totals from the entered earnings and deductions. That is different from certifying that each tax or contribution amount is correct. A salary calculator can provide an estimate, but individual circumstances and local rules may require a different payroll result.
Employer-only contributions should not reduce the employee’s net pay. If you use year-to-date features on an eligible plan, confirm the correct payroll year and opening totals, especially when migrating from another system.
Step 4: review the entries and generate the payslip
Check the employee, dates, currency, earnings and deductions before generating. The in-app Preview feature is available on Pro and Business; do not assume it is included on Free or Starter.
After generation, download the PDF and review the actual document before distributing it. Compare net pay with the payment you intend to make or have made. If something is wrong, correct the underlying payroll record through the appropriate workflow rather than editing the PDF to hide the discrepancy.
Step 5: download and share securely
Download the PDF from your payslip record. Give the file a clear, non-sensitive name and store it where only authorised people can access it. Verify the recipient before sharing: payslips contain personal and financial information.
Starter and higher plans include built-in email delivery. If you download and distribute a PDF yourself, use your organisation’s approved secure method. Meet the employee’s applicable delivery deadline; creating a PDF is not the same as delivering it.

Common PDF questions
Is a PDF payslip automatically accepted by a bank or landlord?
No. The organisation requesting proof decides what it accepts and may require additional evidence or employer verification. Do not change earnings, employment details or dates to satisfy an application.
Does downloading a PDF submit payroll reports?
No. A PDF is a pay statement. It does not submit STP, RTI, CPF or other tax and social-insurance filings. Keep using the appropriate reporting system or adviser.
What should I check if the PDF looks wrong?
First check the source record: employee name, country, currency, pay period and line items. Then check the PDF itself for missing text, unexpected totals or an incorrect template. Keep an auditable correction trail instead of creating conflicting versions of the same pay period.
